Job Title: Administrative Assistant

Status:  Part-time - 20 hours

Reports To:  Lead Pastor


POSITION OVERVIEW

The Administrative Assistant is a part-time position, working Monday through Thursday. On occasion, it may be required to work events on weekends. Personal Time Off (PTO) is available after the 3-month probationary period. This staff position will take the ‘non-pastoral tasks away from the pastors and paid ministry leaders so they can focus on leading The Rock Church at a higher level.


POSITION REQUIREMENTS 

  • Must be a Christian who will well-represent Jesus Christ and The Rock Church.
  • Must be pleasant, discreet, tactful, and capable of honoring confidential communications.
  • Must have general knowledge of all office equipment and supplies and a willingness to further their training.
  • Must show a willing attitude of Christian service to their position and its responsibility.
  • Must possess good writing and communication skills.
  • Must be able to deal with various types of personalities, both on the phone and in person, in a professional manner.
  • We would like this person to be an active member of the church.
  • If a church member, must be willing to support the work of the church financially.
  • Perform general office work, under the supervision of the Lead Pastor, and in cooperation with other staff members.
  • Must be proficient with, or willing to learn to use, an Apple Macbook computer, along with apps and programs for daily office use. 
  • Have basic working knowledge of Quickbooks Online.


PRIMARY RESPONSIBILITIES

  • Acts as the church office receptionist directing phone calls, appointments, and guests throughout the church. Answer the phone and screen calls for staff per their direction.
  • Initiate the assimilation process of visitors by reviewing first-time visitor bulletin tear-offs, and sending first-time visitors a welcome email and card.
  • Prepare and print church flyers, handouts, programs, or brochures, as needed.
  • Keep accurate membership records, including new member covenants, baptisms, Growth track attendance, weddings, anniversaries, birthdays, and child dedications.
  • Work with the Worship & Technical Arts Pastor to monitor, manage, and coordinate the church email account, website, app, calendar, social media profiles.
  • Work with Lead Pastor to create format and content of the ‘Weekly Update’ email.
  • Process incoming requests submitted via the church website, Weekly Update, and social media pages, including (but not limited to) child dedication, baptism, prayer requests, Life Group applications, Growth Track sign-ups, and event registration.
  • Coordinate pastoral staff appointment calendars in conjunction with daily church office activities. Confirm any appointments with them that will happen outside of normal office hours. Confirm appointments one day in advance.
  • Assist with scheduling travel arrangements for conferences that the church staff attends.
  • Make and receive phone calls to members, community members, and vendors, as needed. Pick up supplies, as needed.
  • Prepare written materials for Growth Track classes, Board Meetings, child dedications, baptisms, and other meetings and events, as needed.
  • Assist the Director of Volunteers & Events and the Children’s Ministry Director in preparing for special events in their areas of responsibility.
  • Perform general office work; maintain supplies; keep records and compile these into periodic occasional reports. Accuracy and attention to detail is a must.
  • Prepare and maintain mailing lists and church roster.
  • Collect annual reports and collate them into a booklet and send to printer.
  • Photocopy documents and assemble as needed.
  • Do routine letters and documents as needed/requested.
  • Be available to discuss decision matters with the pastors daily and execute on those decisions.


BENEFITS PROVIDED

  • This part-time position will begin to earn personal time off (PTO) after a 3-month probationary period. The amount of PTO is stated in the Employee Handbook.
  • This position will be paid for the 10 approved Federal holidays during the year.
  • Pay rate: $17/hour. Extra hours are permitted when required by Lead Pastor
